On the tools
A voice note on the drive home, a photo of the docket, or a short form. Name the job if you can, say the works completed, and how long it took.
Say the job the way you say it on site, like Hargadons. If it's already in the book, JobProof matches it. If it's new, Office files it when they confirm. Your note still counts.
Send it anyway. You'll get a ping with the exact questions. Reply with a sentence or another voice note.
Send one note per job if you can. It reads cleaner. A day with a few jobs in one voice note still lands. Today shows what you've already sent.
Open Day sheets and reply with the missing bits. Office can also try reading it again or type the works in from there.
Office
If the job and works match the book and the description is thick enough, it confirms itself. Confirm is the ones that need a second look: unmatched names, a thin note, or something unclear.
Type it on Confirm. That creates the job if needed, then the works under them, with the account default rates. Same name, ignoring case, reuses the existing row.
Settings holds the account price list: what you charge, labour cost, materials markup. New works inherit those numbers. Open Pricing when this job is actually different, like a fixed quote.
One invoice per job per calendar month. When the month is ready, build it from the confirmed works on that job. The approver signs, then you export the PDF.
On Log work, pick the worker first, then send the note as usual.
Open the day sheet. Try reading again, or save the works by hand (hours, what got done, the job, and the works name) and confirm from there. Clean notes on the same day still move on.
Approver
Invoices the office has built and submitted. Open one, check it, and send it on. You'll see margin on that screen.
Send it back. Office picks it up from there.
Nothing is waiting for sign-off yet. Notes can still be landing, and Office may still be confirming or building the month.
