JOBPROOF

How we use AI

Notes stay in Dublin.
OpenAI reads the note.

JobProof stores the day book in Dublin. To structure a note it sends that note to OpenAI, then a person checks the result. This page is how that works today, not legal advice.

Where it lives

The app runs on Vercel in Dublin. Logins, the job book, invoices, and the original notes (text, voice files, photos) sit in Supabase, also in Dublin.

That Irish copy is the record. It is not overwritten. Office can open the original note later.

What leaves Ireland

To read a note, JobProof sends it to OpenAI. That call is the exception. OpenAI is not in Ireland.

We send only what is needed to turn the capture into a structured visit: the words from the note, the voice file if you sent one, the photo if you sent one, and the customer and job names from your book so a name you said can be matched.

We do not send rates, costs, margin, invoices, passwords, or a customer phone and email list. OpenAI does not confirm work, set a price, or sign an invoice.

For structured reading and photo reading we set store to false, so OpenAI does not keep that request in its dashboard logs. Voice notes use OpenAI's audio API to turn speech into text. OpenAI's current API terms say they do not train models on API data unless someone opts in. Treat the call as a transfer outside Ireland either way.

What can be in a note

JobProof is built to take a day sheet: who the visit was for, what was done, how long it took, materials if you named them. Customer and job names in the book are enough to file the visit. We do not ask for PPS numbers, medical history, or a private phone number.

A voice note or a photo is still whatever someone chose to send. If a worker says a private detail out loud, that detail is in the note. It is stored in Ireland and sent to OpenAI to be read. Keep the note to the job.

The person who sends the note, and the business they work for, decide what goes on the record. JobProof processes the note as sent. We do not strip extra details out before the OpenAI call.

What stays with people

AI drafts the visit. A person still confirms anything unclear, sets or overrides rates, and signs the invoice. Thin or unmatched notes land on Confirm instead of sailing through.

JobProof does not message customers. WhatsApp or email, if you use them, are inbound from the worker or office. Replies stay in that same thread with the sender.

Questions about a specific note sit with the office that runs your JobProof. Seat how-tos.
